What a PMS and channel manager do

The property management system (PMS) is the central hotel software: reservations, room plan, guest data, check-in, invoicing and reporting all come together here. The channel manager connects this system to the online travel agencies (OTAs) and your own booking engine. It distributes rates and availability to all channels and feeds incoming bookings back into the PMS automatically.

Without this connection, staff update each platform separately. That takes time, and every delay increases the risk that a room already sold is booked again on another channel.

The biggest gain rarely lies in a single feature, but in cleanly connected processes.

Which properties benefit

A good fit ifLess suitable if
several OTAs are used in parallelonly one or two channels are active and changes are rare
rates are adjusted by season or demandfixed rates apply all year round
double bookings or transfer errors occurthe property runs smoothly without synchronisation
the team wants to cut manual transfershighly individual interfaces are needed that the system does not support

Large hotels and chains with complex integrations have different needs from a family hotel with twenty rooms. Reputable providers say openly when a property does not fit their system; take such a refusal as useful information rather than a setback.

What to look for when choosing

CriterionQuestion to ask
Channel connectionsAre all platforms you use now and plan to use certified and connected in both directions?
SynchronisationHow quickly is availability transmitted, and what happens during an outage?
Swiss requirementsDoes it support guest registration, tourist tax, VAT rates and Swiss payment methods?
Data storageWhere is guest data stored, and how is data protection handled?
ModulesWhich features such as booking engine, guest messaging or online check-in are included, and which cost extra?
SupportIn which language and at what times is help available, including weekends?
ContractHow long are the term and notice period, and can you export your data?

Clarify Swiss specifics

Accommodation services are currently subject to a special VAT rate, tourist taxes are set by municipalities and guest registration duties by cantons. Since the end of 2022, booking platforms may also no longer impose rate parity clauses on Swiss hotels. Ask to see how the system handles these points, and check current rates and rules with your fiduciary or industry association.

Implementation step by step

A clear sequence has proven itself: first the PMS, then the channel manager, then the channels one after another. As a guideline, the Ticino-based provider Casy Software Solutions Sagl, for example, states a few days to a week for consulting and analysis, around a week for installation and setup, and three to four weeks for integration and partner connections.

  1. Current-state analysis: record channels, room types, pricing logic and responsibilities.
  2. Set up the PMS: master data, room plan, rates and invoice templates.
  3. Connect the channel manager and map room types and rates correctly to each channel.
  4. Activate channels one at a time and test bookings in every direction.
  5. Train the team, plan go-live and arrange close support in the first weeks.

The most common mistake

Switching all channels live at once usually prolongs troubleshooting. Start with your most important channel, check mappings and booking flows, and only then expand.

Costs and benefits

Costs depend mainly on the number of rooms, the modules chosen and the depth of integration. Monthly fees are common, sometimes supplemented by setup costs, per-channel or per-booking fees. Ask for a quote that shows every item over at least three years.

Against this stand time savings and fewer errors. How large the effect is depends on your current workload. In a project described by the provider mentioned above, manual work fell, according to its figures, from around two hours to about 30 minutes a day, with four OTAs managed centrally. Calculate with your own numbers: minutes per day spent on manual updates, frequency of overbookings and their knock-on costs.

Frequently asked questions

Does a small hotel need a channel manager?
Not necessarily. With one or two channels and few rate changes, a simpler solution is often enough. Once several OTAs run in parallel, central control usually pays off clearly.
How long does implementation take?
A few weeks, depending on scope. Most of the time goes into integrating and testing the channels, not the installation itself.
Does a channel manager eliminate double bookings completely?
It reduces them sharply but does not rule them out entirely, for example if a platform is delayed. Clear rules for last rooms and a fallback procedure remain sensible.
Can I keep my existing PMS?
Often yes, if there is a certified interface to the channel manager you want. Check that the connection works in both directions.
What if my requirements do not fit the system?
Then another system is the better choice. A provider who says so openly and early saves you project problems later.

If you clarify your processes before choosing software, you will pick not the system with the most features but the one that fits your property.
